Every quote, invoice, payment and timesheet it creates flows into Xero, and if the connection is messy, your bookkeeper spends hours each month untangling duplicated invoices, part-paid jobs and GST that landed in the wrong place. A clean two-way sync is worth more to your bottom line than any single feature, because it is the difference between books that are right on the first pass and books that need fixing every quarter.

So the real question is not "which app has the most buttons", it is "which app hands my bookkeeper a tidy Xero file". That is the lens we use below.

Tradify, the Best All-Rounder

For most small to mid trades businesses in Australia, Tradify is the one we recommend first. It covers the full job cycle in one place: enquiry, quote, schedule, timesheet, purchase order, invoice. The Xero connection is genuinely two-way and reliable, invoices and payments map across without creating duplicates, and the purchase orders carry supplier costs through so job profitability is real rather than guessed.

It is strong for electricians, plumbers, HVAC, builders and similar outfits running anywhere from one to around a dozen staff. The quoting is fast enough to do from the ute, and the recurring-job and maintenance features suit service work. Where it is less suited: very large jobs with staged claims and heavy stock movements, which is Simpro territory.

ServiceM8, Built for the Phone

ServiceM8 is an Apple-first field service app that solo operators and small teams love because almost everything happens on the phone: dispatch, job cards, photos, signatures, card payments on site. It syncs to Xero well for invoices and payments. The trade-off is that it leans on the Apple ecosystem, and its quoting and reporting are lighter than Tradify once you grow past a couple of staff. If you are a one or two-person field business living on an iPhone, it is a strong, cheap fit.

Simpro and Jobber, the Bigger and the Imported

Simpro is the heavyweight. It is built for larger contractors running complex, multi-stage projects with real inventory, progress claims and detailed cost tracking. It is more expensive and takes real setup, so it earns its keep only once you have the size and job complexity to use it. For a small outfit it is overkill and the books get harder, not easier.

Jobber is capable but built primarily for the United States market, so its tax handling, payment rails and some integrations are less natural for Australian GST and Xero than the home-grown options. We rarely recommend it here when Tradify and ServiceM8 exist.

Which Syncs Cleanest With Xero

Tradify and ServiceM8 both sync cleanly for the day-to-day: invoices, payments and contacts move across without creating duplicates, which is what matters most for reconciliation. Tradify edges ahead when you want job costs and purchase orders reflected in Xero so job profitability is accurate. Simpro syncs more data but needs proper setup to avoid clutter in your chart of accounts. Whichever you choose, the mapping of items and tax codes is where most of the mess starts, so it is worth getting that configured once, properly, at the start.

Rostering, Timesheets and Inventory Add-Ons

If staff scheduling, timesheets and award-correct hours are your pain point, a dedicated tool like Connecteam pairs well alongside your job app and feeds hours cleanly into payroll. And if you are tracking ledgers or need lightweight bookkeeping tooling, NxLedger is worth a look. The point is to keep each tool doing the one job it does well and let them feed Xero, rather than forcing one app to do everything badly.
